Follow these steps to get started with your concert suite management:

Customize Your Suite

Navigate to Settings and personalize your suite name and venue location.

Add Your Concerts

The fastest way to get started is in Settings → Data & Archives — tap Update 2026 Concerts and the full schedule loads automatically. You can also add individual concerts manually from the Concerts tab.

Manage Your Seats

Select seats in the interactive firepit view to update their status and details.

Concert Management

Adding a Concert

  1. Tap the "Add Concert" button in the Concerts tab
  2. Enter the artist name
  3. Select the concert date
  4. Tap "Create Concert"

Editing Concert Details

  1. Tap on any concert in your list
  2. Select "Edit Details" to modify artist or date
  3. Make your changes and save

Calendar View

Switch between list and calendar views to see your concerts in different formats. The calendar view provides a monthly overview of all scheduled performances.

Seat Management System

Understanding Seat Status

Available: Seat is open for sale
Reserved: Seat is held but not yet sold
Sold: Seat has been purchased

Batch Operations

Use batch mode to update multiple seats at once:

  1. Tap "Batch Edit" in the seat view
  2. Select multiple seats by tapping them
  3. Choose an action (Mark as Sold, Reserved, or Available)
  4. All selected seats will be updated simultaneously

Family Tickets

Personalize family seats with names:

  1. Select a seat and choose "Family" as the source
  2. Enter the person's name
  3. The seat will display their name instead of "FAMILY"

Analytics & Reporting

Shared Suite Management

Collaborate with family and friends by sharing your suite data across multiple devices and users.

Creating a Shared Suite

  1. Go to Settings and open the Sync & Sharing card
  2. Enable "Suite Sharing" and tap "Create Suite"
  3. Choose how to send the invitation code (text message, email, etc.)
  4. Send the generated invitation code to family and friends
  5. Guest members enter the invitation code in their SuiteKeep app to join

User Roles & Permissions

  • Owner: Full access to edit suite settings, manage members, and delete the shared suite
  • Editor: Can modify concert data, seat status, and pricing information
  • Viewer: Read-only access to view all suite information

Real-Time Sync

All changes are automatically synchronized across all devices. The Sync & Sharing card shows:

  • CloudSync toggle with inline status indicator
  • Last sync date displayed on one line
  • Sharing status and role information
  • Manual sync button with animated feedback

Joining a Shared Suite (Guest)

  1. Receive the invitation code from the suite owner
  2. Open SuiteKeep and go to Settings
  3. In the Sync & Sharing card, enable "Suite Sharing"
  4. Tap "Join Suite" and paste the invitation code
  5. Tap "Join" to become a member of the shared suite

Managing Suite Members (Owner)

  1. In Settings, open the Sync & Sharing card
  2. View current members and their roles
  3. Tap "Manage" to change roles or remove members
  4. Use "Invite" to generate a new invitation code
  5. Share the code via your preferred method

Leaving or Deleting a Shared Suite

  • Leave Suite: Removes you from the shared suite while keeping your local data
  • Delete Suite (Owner only): Permanently removes the shared suite for all members
  • Data Safety: Local backups remain intact even after leaving

Version 3.0 organizes Settings into three focused cards plus a compact footer.

Suite Setup

Configure your suite's core identity and pricing defaults:

  • Suite Name: Personalize your suite's display name
  • Venue Location: Set your concert venue
  • Default Family Price: Set standard family ticket pricing
  • Default Seat Cost: Set per-seat costs with "Apply to All" option

Sync & Sharing

CloudSync and Collaboration are now combined in one card:

  • CloudSync Toggle: Enable/disable iCloud sync with an inline status indicator
  • Status at a Glance: Sync status, last sync date, and errors on one line
  • Suite Sharing: Enable collaboration, create or join suites, invite members
  • Active Sharing Info: See your role, suite name, and manage members

Data & Archives

Backup, restore, update concerts, and archive past seasons from one card:

  • Backup Status: Last backup date and concert count
  • Create Backup: Generate a shareable backup file
  • Update 2026 Concerts: One-tap auto-update pulls the latest schedule from the server. New shows are added automatically and your existing data is never overwritten. Tap it whenever new concerts are announced.
  • Restore from Backup: Import a previously saved backup
  • Year-End Archives: Archive completed seasons and browse past archives
  • Clear All Data: Two-step confirmation to reset the app entirely

Frequently Asked Questions

Quick answers to common questions

How do I reset a seat to available?

Tap on the seat in either the firepit view or list view, then select "Available" as the status. The seat will immediately return to the available state and any associated data will be cleared.

Can I track parking tickets?

Yes! Each concert has a parking ticket option. When viewing an individual concert's seat layout, look for the parking icon near the top or bottom of the screen. Tap it to add parking details including price, quantity, and notes.

How do I delete a concert?

Swipe left on any concert in the list view to reveal the delete option, or tap on the concert and select "Delete Concert" from the menu.

Can I export my concert data?

Yes, navigate to Analytics and use the reporting feature to generate and export comprehensive reports of your concert data in PDF format.

Is my data backed up?

Your data is automatically saved locally and synced via iCloud when CloudSync is enabled. You can also create manual backups in Settings under the Data & Archives card — perfect for device transfers or safekeeping.

How do I track costs vs revenue?

When marking a seat as sold, enter both the sale price and your cost. The app automatically calculates profit margins and displays them in the Analytics dashboard.

How do I create a backup of my data?

Go to Settings, open the Data & Archives card, and tap "Create Backup" to generate a comprehensive backup file. You can share it or save it, and later restore using "Restore from Backup".

How do I update my concert schedule?

Open Settings, tap the Data & Archives card, and hit Update 2026 Concerts. The app connects to our server and pulls down any newly announced shows — all in one tap. Your existing seat assignments, prices, and notes are never touched. Tap the button again anytime to check for new additions to the schedule.

How do I archive a past season?

In Settings, scroll to the Year-End Archives section within the Data & Archives card. You can archive all concerts from a specific year. Archived data is preserved and can be viewed anytime.

How do I clear all my data?

In the Data & Archives card, tap "Clear All Data". This has a two-level confirmation system to prevent accidental deletion. It will completely reset the app to its initial state.

How do I share my suite with family and friends?

In Settings, open the Sync & Sharing card and enable "Suite Sharing". Tap "Create Suite", then send the generated invitation code to others. They enter the code in their app under Sync & Sharing to join.

How do invitation codes work?

Invitation codes are unique text strings generated by the suite owner. Send the code via text, email, or any method. The guest enters it under Sync & Sharing in their SuiteKeep app. Codes are secure and suite-specific.

What's the difference between Owner, Editor, and Viewer roles?

Owner: Full access including managing members and deleting the suite. Editor: Can modify concert data and seat information. Viewer: Read-only access to view all information but cannot make changes.

How do I know if my data is syncing?

The Sync & Sharing card shows an inline status indicator with sync state, last sync time, and any errors — all on one line. When syncing, the sync button animates to show progress.

What happens to my data if I leave a shared suite?

Your local data remains intact when you leave a shared suite. You'll keep a copy of all concert information, but future changes won't sync with other members. Create backups before leaving for extra safety.

What warranty or support does the app provide?

SuiteKeep is provided "as is" without warranties. While we strive to provide reliable software, we make no guarantees about accuracy or functionality. We do provide email support for questions and issues.
